The Universal AI Awards Americas — First Edition (UAA Americas) is a Knowledge Networks event recognizing achievement in artificial intelligence across the Americas region. This Privacy Policy explains how UAA Americas collects, uses, stores, and protects personal information provided by individuals and organizations engaging with the event, including nominees, nominators, jury members, sponsors, corporate table purchasers, media representatives, and registered attendees.

By submitting a nomination, registering to attend, or otherwise engaging with the UAA Americas event, you agree to the practices described in this policy.

UAA Americas collects personal and organizational information across the following categories of engagement:

Nominees and Nominators

Jury Members

3 How We Use This Information

Personal information collected in connection with UAA Americas is used for the following purposes:

  • Administering the nomination submission and review process
  • Supporting the judging panel in the evaluation and selection of award recipients
  • Managing event registration, logistics, and access credentials
  • Processing payments for registrations, sponsorships, and corporate table purchases

4 Venue Security and Law Enforcement Disclosures

UAA Americas is held on the sidelines of the G20 Leaders' Summit. Given the security context associated with this event, attendee information — including name, organizational affiliation, and registration details — may be shared with venue security personnel and, where required by applicable US federal or local law, with relevant authorities.

We will notify you of any such disclosure to the extent permitted by law. Where disclosure is required by legal compulsion and notification is not permitted, we will comply with our legal obligations and record the disclosure accordingly.

5 Honoree Publication and Public Recognition

The public recognition of award recipients is a core purpose of the Universal AI Awards program. Honoree names, professional titles, organizational affiliations, and award categories are published as part of the formal recognition program. Publication occurs across UAA Americas and Knowledge Networks channels, including the event website, press releases, social media, and partner platforms.

By accepting a nomination, finalists and honorees consent to the publication of their details in the contexts described above. If a finalist or honoree has specific concerns regarding the form or scope of recognition, they should contact prior to the announcement date.

6 Photography, Video, and Live-Stream Footage

Photography, video recording, and live-stream coverage will take place throughout the UAA Americas event. Footage captured at the event — including on the awards stage, during networking sessions, and at sponsored activations — may be used in Knowledge Networks and UAA promotional, editorial, media, and social media materials.

Attendees are notified of this at the point of registration. Attendance at the event constitutes acknowledgment that footage may be captured in public areas of the venue.

Attendees who wish to request exclusion from non-ceremonial footage may do so by contacting . Requests for exclusion from ceremonial footage may not be accommodated given the public nature of those elements. 7 Payment Processing

All payment transactions associated with UAA Americas — including event registrations, sponsorship fees, and corporate table purchases — are processed exclusively by PCI-DSS-compliant third-party payment processors. Knowledge Networks does not store, process, or transmit full payment card details on its own systems.

Payment processors are bound by their own privacy and security policies and are contractually required to handle payment data in compliance with applicable financial data protection standards. Billing records are retained for the period required by applicable law and accounting obligations.

8 Data Retention

Post-event, personal data relating to attendees, nominees, and award recipients is retained for up to three years for awards record-keeping, reporting, and archival purposes. This retention period supports the integrity of the awards record and facilitates responses to queries arising from the event.

Nomination materials submitted by unsuccessful nominees are retained for the duration of the relevant awards cycle and for up to one year thereafter, following which they are securely deleted or anonymized.

Upon expiry of the applicable retention period, personal data is securely deleted or anonymized in accordance with this policy.

9 Data Security

We apply appropriate technical and organizational security measures to protect personal data collected in connection with UAA Americas. Access to event data is restricted to staff and systems with a documented operational need.

In the event of a data breach that is likely to result in risk to individuals, we will notify affected parties and relevant regulatory authorities as required by applicable law.

10 Your Rights

Subject to applicable law, individuals whose personal data we hold have the right to:

  • Access the personal data we hold about them
  • Request correction of inaccurate or incomplete data
  • Request deletion of their data, subject to applicable legal and archival obligations
